Set the counting rule
A handoff should preserve context as well as the number. The next person needs to know which doorway, line and categories were used by the previous observer.
Put the rule into practice
At 15:00, the first volunteer hands over 83 entries and 12 exits and notes a busy side gate.

Steps for a reliable tally
- Record the time, entrance name, entries, exits and any uncertain event.
- Let the incoming observer confirm the displayed values and take position before you step away.
- Use a short handoff note with time, both totals and exceptions.
- Have the incoming worker repeat the displayed values back before they begin counting.
Why this detail matters
Two observers can overlap briefly at a handoff to avoid a blank interval, but agree which one taps during that overlap. Otherwise a careful transition can double-count the same arrival. Note the final old total and first new total; the difference should match observed movement after the handoff.
At the venue
A second observer should receive the exact counter state, not a rounded summary. If the outgoing person says “about eighty,” the next shift loses the precision of the running count. Keep the time of the last known tap and the first tap after the handoff. A short overlap is safer than leaving the doorway uncovered.
What can go wrong?
A gap between observers is a missing-data interval, not a zero-traffic interval.
