Set the counting rule

A room count is a changing balance, not simply the number of people who ever entered. The starting number matters when guests or staff are already inside.

Put the rule into practice

WORKED EXAMPLE

If 12 people were present at the start, add that 12 to the entry-minus-exit difference.

Steps for a reliable tally

  1. Choose the room boundary and count people already inside before opening the door.
  2. Assign one counter to arrivals and another to departures; update the displayed total after each change.
  3. At a quiet moment, have another person visually estimate or count the room.
  4. If that check differs, record the discrepancy and restart from a known observation point.

Why this detail matters

A quick glance is least reliable in a crowded or oddly shaped room. If the number is used for a capacity decision, arrange a direct recount or a second observer. The formula gives a running estimate that depends on every entry and exit being seen; it does not repair missed movement by itself.

At the venue

If you need the number for a decision, agree who owns the display and who can correct it. A correction should have a time and a reason, such as an unobserved fire-door exit. When the room empties, the count should return to the starting baseline. If it does not, treat that as evidence that some movement was missed.

What can go wrong?

A missed exit leaves the room total too high even when the arrival count is perfect.
