Set the counting rule

Event teams use these figures for different decisions. Attendance helps describe reach; occupancy helps manage how many people are in the space now.

Put the rule into practice

WORKED EXAMPLE

A guest may count once toward attendance while leaving and returning changes occupancy twice.

Steps for a reliable tally

  1. Define attendance as unique people or admissions for your event.
  2. Set an opening occupancy, then maintain entry and exit counters to answer the live-capacity question.
  3. Put the measurement name on the report header.
  4. If you have only admissions, do not label the result occupancy, even when admissions were counted accurately.

Why this detail matters

A venue might report 500 admissions over a day yet never hold 500 people at once. That distinction matters for staffing and room capacity. Keep the event-period total and the live balance in separate fields. If some exits are not monitored, describe the occupancy figure as incomplete.

At the venue

When reporting a peak occupancy, save the time of the peak as well as the value. A total attendance report can include the event's full duration, while occupancy changes minute by minute. If the event began with staff already inside, state whether staff are included in both measures or only in the live balance.

What can go wrong?

An admissions counter alone should never be used as a live room-capacity display.
